Executive Assistant to the CEO & European Office Manager

You will get the opportunity to contribute as an Executive Assistant to our CEO (20%) and to support our European Operations Manager (80%) with office management. And will benefit from a culture of flexible working with a healthy combination of working in the office and some remote work.

The role is based in Amsterdam and could be full time or part time, depending on your availability and preference.

 

The responsibilities include:

  • Managing the calendar and inbox of the CEO, communicating with key stakeholders on behalf of the CEO and setting up meetings
  • Supporting the CEO in management of relationships and projects for key clients and stakeholders within the business and externally
  • Office management within the Amsterdam office (situated on the Keizersgracht), including office administration, procurement, and office maintenance
  • Acting as a liaison between our employees and our external IT and telecoms suppliers. This includes supporting colleagues with queries about IT and telecoms and escalating any significant questions to external suppliers
  • Maintaining office inventories, software subscriptions and managing our online travel systems
  • Supporting new employees that join our team by setting up their systems and office orientation
  • Event management and supporting the organisation of our annual all staff event that happens in a different part of the world each year.

 

 

Skills required:

  • You must be eligible to work in the Netherlands
  • Excellent communication skills and the ability to manage stakeholders of all levels of seniority – within our organisation as well as clients and suppliers
  • Attention to detail and ability to work in a structured manner
  • A proven record of taking responsibility for deliverables and deadlines and reliably meeting them
  • Good knowledge on M365 suite; MS Word/ Excel/Outlook etc.
  • Effective organisational skills, including events
  • Experience in multicultural and multinational groups and a passion for diverse teams
  • Full proficiency in English and Dutch languages
